What is GSTR-2B?
GSTR-2B is an auto-drafted input tax credit statement that the GST portal prepares for every registered taxpayer, for every month. It is built from the returns filed by your suppliers and other sources, including GSTR-1 and IFF filed by your suppliers, GSTR-5 (non-resident taxpayers), GSTR-6 (input service distributors) and import data for goods.
For each invoice, debit note and credit note, it shows the supplier's GSTIN, the document number and date, the taxable value and the IGST, CGST, SGST and cess, and whether the credit is available or not available. Once generated for a period, it does not keep changing the way GSTR-2A does, which is what makes it suitable as the basis for your monthly ITC claim.
Why reconcile GSTR-2B with your books?
- Claim only eligible credit. Credit on an invoice that is not in your GSTR-2B is generally not allowed. Claiming it anyway can lead to the credit being reversed with interest and penalties.
- Find credit you are missing. Invoices that appear in GSTR-2B but are not in your books are credit you may be leaving on the table, or purchases that were never recorded.
- Catch errors early. Typos in invoice numbers, wrong taxable values, a wrong GSTIN or IGST charged instead of CGST and SGST are far easier to fix in the same month than at year end.
- Follow up with suppliers. If a supplier has not reported an invoice, you cannot claim the credit until they do. Reconciliation tells you exactly whom to call and for which invoices.
- Keep the annual return clean. Monthly reconciliation makes the annual return and any departmental query much easier to handle.
How the Invoice Management System (IMS) affects GSTR-2B
The Invoice Management System sits in front of GSTR-2B. Invoices and notes saved or filed by your suppliers appear on your IMS dashboard, where you can accept, reject or keep them pending. Accepted invoices flow into GSTR-2B as eligible credit, rejected ones do not, and pending ones are carried forward. If you take no action, an invoice is deemed accepted when GSTR-2B is generated. Until you file GSTR-3B, GSTR-2B can be recomputed after you change your IMS actions.
This makes reconciliation more important, not less: deciding what to accept or reject in IMS is far easier when you already know which invoices match your books and which do not.
How to reconcile GSTR-2B, step by step
- Download your GSTR-2B for the month from the GST portal (Returns dashboard, then GSTR-2B). The Excel download is the easiest to work with.
- Export your purchase register from your accounting software (for example Tally), with the supplier GSTIN, invoice number, invoice date, taxable value and IGST, CGST, SGST and cess for each invoice.
- Clean up the data. Make invoice numbers consistent (spaces, prefixes, slashes and leading zeros cause most false mismatches), check GSTIN formats and make sure dates are real dates, not text.
- Match each invoice on supplier GSTIN and invoice number, then compare the taxable value and each tax amount.
- Classify every row as matched, mismatched (with the reason), present in GSTR-2B but missing from your books, or present in your books but missing from GSTR-2B.
- Act on the results: claim credit on matched invoices, correct errors in your books, decide your IMS actions, and send suppliers the list of invoices they still need to report or amend.
With a few dozen invoices this can be done by hand in a spreadsheet. With hundreds or thousands, manual matching becomes slow and error-prone, which is where a reconciliation tool earns its keep.
The mismatches to check, and what to do about each
| Result | What it looks like | What to do |
|---|---|---|
| Exact match | GSTIN, invoice number, values and tax all agree | Claim the credit |
| Invoice number mismatch | Same supplier and amounts, but the invoice number differs (often a typo or format difference) | Check the invoice copy; correct your books, or ask the supplier to amend |
| Taxable value mismatch | Invoice found, but the taxable amount differs | Check the invoice; correct your books or get the supplier to amend |
| Wrong tax classification | IGST reported where CGST and SGST were expected, or the other way round | Usually a place-of-supply error; the supplier needs to correct it |
| Minor variance | Differences of a few rupees from rounding | Usually acceptable; set a threshold so they are not flagged as errors |
| Split invoice | One invoice with lines at different rates (for example 5% and 18%) shown as several rows | Match the rows together as one invoice |
| GSTIN mismatch | The invoice matches, but the GSTIN in your books differs from the one reported | Correct the supplier master in your books, or ask the supplier to fix their return |
| Duplicate | The same invoice appears twice in your books or in GSTR-2B | Remove the duplicate so credit is not claimed twice |
| Missing in books | In GSTR-2B, not in your purchase register | Record the purchase if it is genuine; reject it in IMS if it is not yours |
| Missing in GSTR-2B | In your books, not in GSTR-2B | Hold the credit and ask the supplier to report the invoice |

Best practices
- Reconcile every month, after GSTR-2B is generated on the 14th and before you file GSTR-3B.
- Act on invoices in IMS based on the reconciliation, not before it.
- Send suppliers the list of missing or mismatched invoices early, while they can still fix them.
- Keep supplier GSTINs and invoice number formats consistent in your accounting software.
- Use GSTR-2A as an early warning for late supplier filings; see the GSTR-2A reconciliation guide.
- Keep each month's reconciliation report; it is your evidence if credit is ever questioned.
